our data from MS-Project to Smartsheet?". The consultants nodded with a slurred "Yeees" and then
explained that the data can be transferred, yes, but the formulas would get lost. At least this was a
sufficient answer, and they relaxed. Next subject of discussion was: "How many licenses do we need;
how much would that cost?".
One of the consultants explained it: "In the past, till January 2025, not any user needed a license, but
this has changed . Supposed you have some project managers as well around a hundred people in
project management, all your users will require now a license . Approximately 100 users would be
supported at a cost of around USD 20,000 annually, so roughly $1,666 monthly." Considering that one
White-Collar Worker does cost the company roughly $50 k/annually, this charge would be acceptable
and fair."
The consultants were asked how to proceed, and their answer was: "We would like to recommend a
PMO, a Project Management Office. There we locate some people, who will run all projects in the
whole.
A question came up: "And how will the Head of the Quality Department as well for instance the Sales
Director, be able to create reports or sheets, either?". The consultant's answer was: "That's another
thing, because we wouldn't like that everybody creates all the time new stuff on a whim. So, these
people would be granted "Editor rights" to have permission to edit just sheet data. Only the PMO is
supposed to create sheets, reports, etc., according cross-checked demands, because these guys there
are then "Admins". We call this "Controlled Procedures"." Then it was time for the consultants to con-
tinue with their proposals.
Next subject was: "Training: The guys who are supposed to run the PMO will provide an in-house train-
ing for all project team members, so they will know what we expect from them in respect of calling up
their tasks on a daily basis and give a response to the plans accordingly." They continued: "In the mean-
time, we'll support the Project Management Office, and will there also revise the current WBS, Work-
Breakdown-Structure, because we are sure some rows there aren't necessary but some others, crucial
ones, are entirely missing."
